JOB DESCRIPTION SUMMARY
The Administrative Assistant provides frontline administrative support for the Global Experience Office and the SWEET Center in the Global School. The ideal candidate will possess the organizational, verbal, written and interpersonal skills necessary to interact effectively with internal and external audiences, including working closely with students. We are looking for a resourceful individual, with good problem-solving skills, organization skills and with the ability to prioritize tasks. We value interest in continuous learning of new competencies to excel at the position and flexibility to work on a team.

JOB DESCRIPTION
  • Proactively address daily business of the GEO and SWEET Center; greet visitors, screen telephone calls, and direct queries to proper staff or faculty member. Handle routine contacts, answer questions, and gather information requiring discretion and sensitivity.
  • Respond directly to those inquiries made of the office not requiring interpretation by program staff.
  • Manage the hiring, training and oversight of student employees in the GEO. Approve hours and initiate payment process for student employees in the GEO and SWEET Center.
  • Facilitate GPP placement, confirmation and fielding processes for students and faculty.
  • Interact with faculty and other department heads frequently to facilitate GPP operations.
  • Establish office procedures and controls of files and data; set up, maintain, and/or revise files and data.
  • Assist with preparing reports on GPP application and participation data each term and on an annual basis.
  • Assist with the award process for the Global Scholarship, communicating with financial aid and university advancement.
  • Identify process changes and update office procedures documents as changes occur.
  • Sign for packages, distribute mail, and assist with receiving for the GEO and SWEET Center.
  • Initiate work orders along with their follow-up via the campus work-order system for the GEO and SWEET Center.
  • Coordinate scheduling and maintain calendars for the GEO and SWEET Center Conference Rooms and meeting spaces.
  • Maintain the organization of meeting spaces and common spaces in the GEO and SWEET Center office space. Manage the ordering, inventory and distribution of all office supplies for the GEO and SWEET Center.
  • Act as the Liaison to the Affinity Group.
  • Special projects and other duties as assigned.
  • High school graduate or equivalent with 3 years of work experience.
  • Ability to work autonomously, handle multiple tasks simultaneously, and adapt to change.
  • Excellent oral and written communication skills.
  • Ability to communicate effectively with multiple constituencies.
  • Experience with online database management preferred.
  • Strong interpersonal and communication skills, a collaborator.
  • Excellent computer skills, including proficiency with Microsoft Word, Outlook, Excel, Power Point.
  • Experience working in higher education or other educational setting preferred.
  • Interest or experience with international programs or project based learning a plus.
