JOB DESCRIPTION SUMMARY
Primary responsibility includes helping to manage day to day PERA operations in the areas of budgeting, finance, student employment, events, and physical education. Provide the Associate Athletic Director, Physical Education Director and Director of PERA with direct support in their work along with entire PERA staff with guidance regarding departmental administrative policies and procedures.

JOB DESCRIPTION

Responsibilities:
  • Primarily assists the Associate Athletic Director with all financial and budget matters for PERA. This includes procurement functions, processing accounts payable and receivable, creating budget reports, reconciling budgets and gift notifications.
  • Responsible for the management of all payment transactions within the department. This includes all team trips, fundraisers, commerce, concessions, and gate receipts. Manages all aspects of on-line payments through Formsite. Works in conjunction with alumni relations and finance for proper allocation and reconciling of transactions as well as processing of all reports.
  • Oversees all employment procedures of PERA student employees including federal work study and department funded. Support department staff in the hiring of student employees; maintain detailed records; approve bi-weekly student time sheets in Workday; assist with on-line scheduling of student employees (When-to-Work.) Work with Financial Aid to monitor available hours of federal work study students. Meet regularly with department supervisors and student employees to update their funding status.
  • Serves on the Event Management Team. Works collaboratively with team members in organizing, managing, and executing various PERA events including but not limited to championships, WPI Athletics Hall of Fame, Annual WPI Athletics Celebration and PERA department events. Organizes game day set-up materials for event managers. Assists with championships including ticketing, manager of spectator entrances including supervising student staff when applicable.
  • Assist the PE Director in their organization and management of the physical education function. Responsibilities include preparation of term schedules, processing PE system reports, assisting PE instructors in their course system work as needed.
  • Responsible for managing all meeting spaces within the Sports & Recreation Center for the department and university. This requires upholding department policies and procedures regarding space usage. Must be able to have good judgement when making reservations.
  • Responsible for all intra-department procurement and oversight of office supplies and equipment; maintain all intra-department communication resources.
  • Train and supervise student employees to assist in Athletics Operations Manager daily work.
  • Perform other duties as assigned.


Requirements:
  • College graduate with 1-2 experience in athletic administration preferred. High school graduate or equivalent of at least 3 years work experience.
  • The ability to prioritize and manage multiple projects, work independently as well as a member of a team, and exercise sound judgment.
  • Excellent communication and organization skills and the ability to deal with sensitive and confidential matters.
  • Excellent Microsoft Office, specifically Excel, Outlook and Teams. A willingness and curiosity to learn and implement other software programs.
