Position Summary:

In support of the Transportation Department and M&S Business Services, schedules and processes motor pool requests, processes financial transactions, prepares reports, researches and resolves discrepancies and required chargebacks. Monitors and reconciles financial information. Creates and maintains paper and electronic files. Provides office support to Transportation and Support Services Manager to include special projects.

Duties and Responsibilities:

  • Works with multiple departments across the College including Facilities, Athletics, Upward Bound, and others in providing College-owned vehicles, charter bus services, and group rental vehicles

  • Provides administrative support for the Transportation department by:

    • Processing requests for charter buses, motor pool and rental vehicles; identify available resources; ensure appropriate forms with signatures are received and driver's licenses are on file

    • Reconcile bus and rental invoices with bookings and monitor PO balances

    • Book vehicles, charter buses and/or rental vehicles as needed; communicate delivery and pick up needs with Fleet Services Shop and requestors; reschedule as needed

    • Process assigned MS Business Office documents, invoices, data and reports including tracking, chargebacks and journal entries; creating and maintaining paper and electronic files which may be subject to audits

  • Provides administrative and financial support to the Maintenance and Security Business Office by:

    • Processing College utility statements, entering data into the online program (EnergyCap), scanning statements, assist Accounts Payable with information for ACH payments

    • Process required documents for Maintenance and Security cashiering deposits.

    • Process miscellaneous journal entries as needed

    • Assisting in the development, implementation and continuation of Maintenance and Security Business Office processes and procedures

  • Provide administrative Support to the Transportation & Support Services Manager by:

    • Assisting in the development, implementation and continuation of Transportation processes and procedures

    • Assist in various data analysis and research projects as directed

    • Prepares annual reports for local, state and federal requirements

  • Provides excellent customer service and maintains a courteous and professional demeanor at all times

  • Operates in a safe manner at all times

  • Adheres to all OSHA guidelines, applicable federal, state and local laws, and PCC and department policies and procedures

  • Contributes to continuous improvement

Job Requirements:

  • High School diploma or General Equivalency Degree and

  • Three years experience with bookkeeping, accounting, property control or purchasing and

  • One year experience with physical and electronic filing and accurate record keeping and

  • One year experience with automotive motor pool, fleet, service shop, rentals, or similar and

  • Valid Arizona Driver's License and demonstration of an acceptable driving record


  • Associates degree

The ideal candidate will have the following knowledge, skills and abilities:

  • Must be able to effectively organize, plan and replan schedules and resources as needed while minimizing any adverse impact to others

  • Must be able to visualize and solve problems with minimal help

  • Must be able to communicate professionally and effectively with a diverse customer base through clear speech and writing

  • MS Office with intermediate (formulas, lookups, charts) MS Excel skills

  • Experience with researching historical records, legal statutes and regulations
