JOB DESCRIPTION SUMMARY
The Housing Operations Coordinator is a live-in professional responsible for the management of all facilities operations aspects of the undergraduate residence halls, graduate houses, and contracted housing locations within the scope of the Housing & Residential Experience (H.R.E.) Center. The Housing Operations Coordinator reports to the Assistant Director of Housing.

JOB DESCRIPTION

Housing Operations

  • Provide quality service to stakeholders; direct visitor inquiries to proper department or internal staff members if necessary.

  • Oversee management of department email inbox, collaborating with Housing Conference Coordinator in establishing plan for review and response.

  • Serve as primary H.R.E. Center staff member contact for Facilities.

  • Manage and track all work orders submitted for residential areas.

  • Triage emergency work orders and student concern call-ins as needed.

  • Work in partnership with campus stakeholders and outside vendors to ensure timely and accurate completion of work orders in residence halls.

  • Provide daily guidance to vendors who provide services in the residence halls.

  • Conduct building walk throughs weekly with Facilities partners.

  • Lead preparations and cleaning coordination for transition periods (winter break, end of academic year, and end of summer).

  • Responsible for communication surrounding facilities issues and student communication for all residential facilities under H.R.E. Center.

  • Coordinate and facilitate fire drills, fire extinguisher and fire alarm inspections, and lodging license renewal & inspection process for all residential facilities.

  • Coordinate appliance replacement for residence halls as needed.

  • Administer academic year damage billing process for all residential facilities, including setting rates with input from various stakeholders.

  • Assist with room change process within the Star Rez Housing Portal.

  • Co-manage overall department key management and ongoing inventory of all keys.

  • Serve as contributor of the Star Rez Housing Portal for housing and employment applications, as well as other data forms, as needed.

  • Contribute to the planning and execution of major H.R.E. Center processes including but not limited to:
    • Housing Selection
    • Opening/Move In
    • Closing/Move Out
    • Key Management
    • ID Office
    • Wellness Days

  • Serve as the third-party vendor relations representative for the H.R.E. Center for the following programs/services and additional vendors as contracts are developed:
    • Storage, pickup, and delivery of student belongings
    • Rental programs such as refrigerators, microwaves, etc.
    • External facilities/maintenance vendors
    • Other vendors, as needed


    Residence Hall Project Management
    • Oversee procurement, deliveries, and installations of furniture/fixtures/goods, as needed for projects/residence halls.
    • Prepare and process financial processes to support procurement of furniture/fixtures/goods.
    • Plan, manage, and administer undergraduate and graduate residence hall low-level renovation/project work for projects, as needed.
    • Partner with campus representatives, as needed, for scheduling and completion of projects.

    Auxiliary Functions
    • Serve in H.R.E. Center on call rotation with Housing Conference Coordinator and Community Director Staff.
    • Establish effective working relationship with campus office and departments including but not limited to: Facilities, Campus Police, Information Technology, Finance and Operation, Office of
    • General Counsel, Environmental Health and Safety, Student Development and Counseling Center, and Dean of Students Office.
    • Participate in Division of Student Affairs activities. Serve on division or campus wide committees as appropriate.
    • Other duties as assigned including supporting the work of other staff members as needed.


    REQUIREMENTS
    • Master's Degree in college student personnel, higher education administration or related area preferred. Bachelor's degree required.
    • A minimum of 2-3 years of residence life experience required.
    • Exceptional interpersonal and communication skills with the ability to exercise a high degree of judgment, diplomacy and discretion.
    • Possesses a willingness and ability to support a diverse and inclusive campus community.
    • Ability to work effectively in a fast-paced environment.
    • Strong candidates are those with excellent organizational, interpersonal and communication skills; good judgment; ability to interact with diverse constituencies; and can work effectively, individually and as a team member.


    Pay: $45,000 - $48,000 per year. This is an on-site live-on position. Salary includes a semi-furnished on-campus apartment and meal plan.
